What Happens When You Save

Overview

Whenever a record with an address is saved, AddressTools checks the address. This happens however the address was entered, including on the standard Salesforce screen, and whether or not you used the search.

Depending on how your organisation has set up AddressTools, saving the record can:

  • Change the format of the country and state.
  • Stop the record saving if address information is missing or not recognised.
  • Fill in your default country if the address has no country.
  • Set the address status back to Not checked if you changed an address that was already verified.

Country and State Formats

Your organisation chooses one format for storing countries, and one for the states of each country. When you save, AddressTools recognises the country and state you entered and stores it in that format, so different entries for the same place are stored the same way. It recognises:

  • Country names, and two-letter and three-letter ISO country codes.
  • State and province names and codes.
  • Alternative names and common variations set up by your Salesforce administrator.

For example, depending on your organisation's setup:

A country or state that AddressTools does not recognise is left as you entered it.

Validation Errors

Your organisation can set rules that an address must meet before the record saves. If the address breaks a rule, the record is not saved and Salesforce shows an error against the affected field. Depending on the rules, an address may need:

  • A country.
  • A country and state that exist in the data installed in your org.
  • A street, city, state or ZIP or postal code, where your organisation requires them for that country.
  • A ZIP or postal code in the correct format for the country.
  • For US addresses, a ZIP code that exists, and a city, state and ZIP code that belong together.

Not every rule applies to every address. The rules can differ by country, and between addresses on the same record.

To correct a validation error:

  1. Read the error shown against the address field. It identifies the value that is missing or not recognised.
  2. Check that the correct country is entered, as the other rules depend on it.
  3. Complete any required field identified by the error.
  4. Replace a country or state that is not recognised with one from the suggestions, where they are shown.
  5. For a ZIP or postal code error, check its format, and that it belongs with the city and state entered.
  6. Click Save again.

If more than one rule fails, an error is shown against each affected field. Correct them all before saving again.

Default Country

If your organisation uses a default country, and you save an address without a country, your default country is filled in for you.

Address Status

Changing an address that was already verified sets its status back to Not checked, as the new address has not been confirmed. For what each status means, see Understanding Address Status.

If Something Looks Wrong

Contact your Salesforce administrator if:

  • A country or state you entered correctly is not converted to your organisation's format.
  • An address still fails validation after you have checked the values.
